Not for profits have specific needs when it comes to financial reports and many are still using multiple programs, manual processes which should be understood.
Building a prototype of the solution (of which a copy becomes the production system) should follow, configuring the solution to suit the requirements of the not for profit organisation. Cleansing and importing data from the previous solution is also key to a successful implementation.
Once a prototype has been established, business process testing should be completed with the key users and in conjunction with your implementation partner. Generally there will be changes required after business process testing before commencing user training.
User training should be delivered per role and cover all the day-to-day activities of the staff. At the completion of User Training staff should continue to test and practice in the test system, completing user acceptance testing and further informing your partner of any issue found.
Go Live is the final stage, where up to date balances need to be transferred from your previous system across into the new, and reconciled by both parties. This generally happens module by module over a period of a fortnight, culminating in the not for profit organisation completing their first bank reconciliation in around the middle of their first month on the new system.
